SUBJECT: UPDATE as of 06th May 2020: TCE Communication on COVID-19

To our esteemed customers, partners and suppliers,

In continuation of and as an update to the earlier email on the subject dated 17th, 20th, 23rd 27th March and 14th April 2020 – you may be aware that a countrywide lockdown across India had been announced effective 25th March for 21 days, i.e. till 14th April 2020. However, considering the Covid19 pandemic situation in India, the Government of India had taken a decision to extend this lockdown till 03rd May 2020. Post assessment of the situation on 01st May 2020, the Government of India has decided to extend this lockdown till 17th May 2020. Considering this directive, the following updates are being shared

  1. TCE teams have been working from home since 24th March 2020, and we have decided to continue in this mode till the pandemic situation across various location stabilizes.
  2. We are also abiding and complying with the latest order and related directives at various cities across India – and all our TCE offices in India shall remain closed till 17th May 2020.
  3. Our India based employees will be working from home during this lockdown period. Our employees have been advised to maintain social distancing, abide with the national directive and strictly refrain from any travel outside their base location.
  4. We have extended our suspension of air travel, both international and domestic till 31st May 2020. All meetings are being done using MS-TEAM or Telecons only with no travel allowed for any of our employees in India.
  5. Our Customer Project anchors have been requested to work with respective customer counterparts to discuss and assess project-specific timelines, work reprioritization and related project analysis. Aligned to these discussions where possible, identified employees are continuing to provide critical project support via “Work from home”, while only emergency and critical staff are being allowed on case to case basis, post required approvals by the authorities to access our offices.
  6. For our employees based at various client offices and project locations globally, the guidance and directive from the client or the local public health authorities shall apply. Overseas employees at Client sites / Customers’ offices are following instructions and work continuity as per our Customer work, project and site protocols and local guidelines.

Above measures apply till 17st May 2020, and we shall share with you further update in case of any changes prior to 17st May 2020. I seek your support, understanding and trust as we jointly work hard to get through these trying times. Be-Safe and Act-Safe and please take all possible precautions.

Our teams are fully engaged on your projects and working from home and to ensure stability, even post-lockdown we plan to continue our work with a large percentage of our teams working from home.

SUBJECT: UPDATE as of 14th April 2020: TCE Communication on COVID-19

To our esteemed customers, partners and suppliers,

In continuation of and as an update to the earlier email on the subject dated 17th, 20th, 23rd and 27th March 2020 – you may be aware that a countrywide lockdown across India had been announced effective 25th March for 21 days, i.e. till 14th April 2020. Considering the Covid19 pandemic situation in India, the Government of India has taken a decision today to extend this lockdown till 03rd May 2020. Further details on the GOI directives are awaited in the coming days. However, considering this directive, the following updates are being shared

  1. We are abiding and complying with this order, and all our TCE offices in India shall remain closed till 03rd May 2020. Our India based employees will be either working from home or shall be on paid-leave during this lockdown period. Our employees have been advised to maintain social distancing, abide with the national directive and strictly refrain from any travel outside their base location.
  2. We have extended our suspension of air travel, both international and domestic till 03rd May 2020. All meetings are being done using MS-TEAM or Telecons only with no travel allowed for any of our employees in India.
  3. Our Customer Project anchors have been requested to work with respective customer counterparts to discuss and assess project-specific timelines, work reprioritization and related project analysis. Aligned to these discussions where possible, identified employees are continuing to provide critical project support via “Work from home”, while only emergency and critical staff are being allowed on case to case basis, post required approvals by the authorities to access the office.
    1. A select list of our employees who handle critical activities such as IT systems, server maintenance and data backup and critical IT application support shall be at our offices on a rotation basis, with due approval received from the relevant authorities for essential and critical services related to ITES sector.
    2. Our Project anchors and business leaders have been in touch with our customer project anchors and aligned to the project's needs have taken the following steps to ensure the delivery of our services from our India based delivery locations.
      1. Either work from home using Laptop and over phone on-call support
      2. or working from home with remote connectivity to office-based servers for our engineering software and design applications via virtual private network connectivity. However, we have informed our customers of possible slow connectivity and related challenges of 3D software over remote connectivity which will impact productivity.
      3. Since 24th March onwards we had enabled remote working of our engineering systems in a phased manner and the same has been stabilized and is fully operational. All critical and high priority projects and deliverables as discussed and agreed with our customers are being served, and our employees are working from home and ensuring delivery on such projects. I urge you to write to our project anchors in case you need any support on your projects, and our teams will ensure immediate actions.
      4. We are taking all possible and reasonable measures and controls to restore our working to be able to perform and deliver on our promise and obligations for the duration of such an adverse situation. Your understanding and support are requested during these times of limited and constrained delivery operations.
  4. For our employees based at various client offices and project locations globally, the guidance and directive from the client or the local public health authorities shall apply. Overseas employees at Client sites / Customers’ offices are following instructions and work continuity as per our Customer work, project and site protocols and local guidelines.

Above measures apply till 03rd May 2020 and we shall share with you further update in case of any changes prior to 03rd May 2020. We expect partial lift of lockdown directives across India and will update you if there are any change in circumstances as they impact TCE prior to 03rd May 2020.

We have also created a core team that is working towards providing support and assistance on concept, design, engineering and detailing of any medical emergency related solutions (for example and not limited to 1, 2, 3) towards managing the COVID challenges. In continuation of and as an update to the earlier email on the subject dated 17th and 20th March, please find the update as of 23rd March 2020 below

  1. Government notifications have been issued across various states in India for the closure of offices across Delhi, Noida, Jamshedpur, Kolkata, Bangalore, Ahmedabad in addition to those issued for Mumbai and Pune last week. Law and order enforcement authorities have been tasked to ensure compliance across these cities. Additionally, the city public transportation has either been severely curtailed or suspended. In line with these notifications, TCE offices in India shall remain closed from 23rd March to 29th March 2020. Bangalore office will be closed till 31st March as given in the government notification.
  2. For our employees based at various client offices and project locations globally, the guidance and directive from the client or the local public health authorities shall apply.
  3. Our Customer Project anchors have been requested to work with respective customer counterparts to discuss and assess project-specific timelines, work reprioritisation and related project analysis. Aligned to these discussions where possible, identified employees are continuing to provide critical project support via “Work from home”, while only emergency and critical staff are being allowed on case to case basis by the authorities to access the office.

Above measures apply till 31st March 2020, and we shall share with you further update by 30th March 2020.

SUBJECT: UPDATE as of 20th March 2020: TCE Communication on COVID-19

As an update to my earlier email, please find details below

  1. The authorities in the State of Maharashtra have announced offices to implement complete closure of facilities in Mumbai and Pune starting midnight of 20th March 2020 till 31st March 2020. Our offices in Mumbai and Pune shall be complying with this order.
  2. Proactively we have also informed our delivery centres apart from Mumbai and Pune to exercise precautions, and they shall be working at reduced capacity starting 24th March 2020 till 31st March 2020.
  3. For our employees based at various client offices and project locations globally, the guidance and directive from the client or the local public health authorities shall apply.
  4. The government of India has also issued a directive on 19th March 2020 regarding international flights. No scheduled international commercial passenger aircraft shall take off from any foreign airport for any airport in India, after 0001 hrs GMT of 22nd March 2020 (* i.e. 0531 hrs Indian Standard Time (IST) of 22nd March 2020). These instructions shall remain in force till 0001 hrs GMT of 29th March 2020.

SUBJECT: UPDATE as of 17th March 2020: TCE Communication on COVID-19

To our esteemed customers, partners and suppliers,

As the world takes serious, stern and commendable action against the spread of COVID-19, we at Tata Consulting Engineers are committed to enabling and supporting these measures. We remain committed as a responsible organisation to support a global fight against the pandemic spread. Based on facts and situation analysis so far, data shows that taking swift social distancing action upfront can significantly impede the spread of the virus while buying time for the medical services to increase capacity, and thereby substantially mitigate the spread of COVID-19.

Tata Consulting Engineers leadership is meeting continuously to assess and appropriately respond to the crisis as it evolves, to adjust our operations to maintain continuity and to support the safety and health of our employees and our operations. In addition, we are operating in accordance with guidance from local government and public health authorities across the globe. The health and welfare of our customers, partners, and our employees and their families remain a priority. Over and above enhanced hygiene and sanitisation measures in our work premises, we have put in place many COVID-19 spread mitigation measures.

We understand that in this time of crisis, it is important for you to be aware of our Business Continuity Plans. Our employees at our delivery centres are continuing to work on your projects, professionally handling project critical and intellectual property sensitive data and executing project related engineering and design-related work using advanced software tools on special high-end hardware desktop and servers. We have enhanced our network security and data protection levels, increased both data storage scope and frequency of project critical data backup, and have taken measures to ensure business continuity. Aligned to our existing work policy, project critical and intellectual property, sensitive activity or work continues to be executed only from within our work premises. We have extensive online communication and collaboration facilities for our employees to communicate with each other and with you and suppliers. We have also communicated to our teams at our customer and project sites to work closely with respective customer anchors and to ensure alignment with prevailing work advisories and local guidelines. We are working tirelessly to help everyone stay safe while at the same time continuing to serve you.

We have taken the following measures since Jan 2020 onwards and updated our advisory at regular intervals. Following measures apply till 31st March 2020, and we shall share with you an update by 30th March 2020.

In the light of recent developments regarding the COVID-19 spread worldwide and the announcement by WHO as a pandemic and travel restriction imposed both by the GOI and US (reconsider travel) as of 11th March 2020, 16th March and 17th March, and keeping the safety of employees and our customers paramount please note the following:

  1. All air travel, both international and domestic has been halted with immediate effect till 31st March 2020. Anyone in transit or amidst travel should complete their travel plan and return as per original itinerary.
  2. The above will be in force till 31st March but in case there are further developments further advisory will follow.
  3. All employees who have undertaken any international travel and returned or returning to India after 03rd March 2020 are advised to undergo self-imposed quarantine for a period of 14 days from the date of their arrival into India
  4. The above measures are as per GOI advisory but also keeping in mind the health and safety of each and every employee and their families. Irrespective of any advisory in past or current, in case anyone who has an overseas travel history and experience any flu like symptoms, all employees must observe self-imposed quarantine and are required to be tested at a government designated hospital. Employee must notify company HR anchors and will be able to return to work after submitting a fitness certificate from a health authority along with lab reports.
  5. Face to Face work meetings are to be restricted and employees must leverage various online collaboration tools such as MS-Teams / Telecon/ VC and avoid all face to face meetings till 31st March 2020.

We continue to focus on your project requirements with sincerity amidst these trying times. Our Customer Project anchors have been requested to work with their customer counterparts to discuss and assess project specific timelines, work reprioritisation and related project analysis.

We are in touch with authorities both in India and at international locations and are committed to follow all current and future advisories and regulations under guidance from local government, public health authorities or customer location specific guidelines across the globe where our teams are operating. We hope that the global and local COVID-19 mitigation measures being put in by the authorities, including our customers, are effective and prevent any further travel, commuting restrictions or working restrictions or work curtailments. We are amidst exceptional circumstances, and as part of business continuity, we must be aware of such a scenario and its possible impact to work commitments. We would like to inform that under an eventuality related to further travel, commuting restrictions, work restriction or work curtailment enforced by the local government or public authorities, the situation shall be treated as outside our reasonable control preventing us from performing and delivering on our promise and obligations for the duration of such an adverse situation. We would like to assure you that in case of any such work impacting scenario, our project anchors shall work with customer/supplier/partner teams to assess the impact and discuss revised project plans. We will continue to monitor the situation across all our offices and project sites and share updates at regular intervals.
